Job Description:
POSITION TITLE: Executive Assistant to the Ambassador
POSITION NUMBER: 11032

Location:Australian Embassy, Addis Ababa

The Executive Assistant (EA) provides high level support to the Australian Ambassador in Addis Ababa, including calendar management, coordinating appointments and events, managing appropriate contact information and liaising with VIP contacts. 

The EA also works closely with other corporate staff to provide administrative support and be part of strong, professional team.  The position provides general administrative support to the Embassy on as required basis.   Well-developed oral and written communication skills and an ability to liaise with a variety of people, good time management, and sound organisational skills are essential.

Key duties include, but are not limited to:
•Providing high level support to the Ambassador, including managing a daily schedule for the Ambassador, making appointments, coordinating travel arrangements and comprehensive administrative support.
•Liaising on Head of Mission’s travel and schedule and supporting effective management of administrative systems.
•Contributing to the management of regular representational functions.  Specific duties include direct liaison with functions-related clients, preparing invitations and taking RSVP's. Where required, supervise staff involved in function arrangements.
•Managing incoming and outgoing correspondence including some research tasks and filing;
•Supporting post management including maintaining electronic and/or paper diaries and maintaining appropriate records.
•Using databases and managing electronic data including expense reporting activities.
•Preparing routine correspondence to a high standard.
•Managing the Ambassador's contacts information.
•Contributing to the management of VIP visits, including airport facilitation, hotel arrangements and transport as required.
Job Requirements:
•Relevant qualification or previous work experience.
•High quality client service skills, strong problem-solving abilities, self-starter and highly motivated.
•Strong English language communication skills (written and spoken) and demonstrated ability to build and maintain effective relationships (both internally and externally).
•Excellent interpersonal skills, including the ability to deal with a wide range of clients, cultures and expectations
•Computer literacy in Windows, Excel, Adobe Reader
•Sense of initiative and strong organisation skills and ability to work with limited supervision.
•Capacity to understand and support knowledge sharing in an organisational environment.
•Ability to act in compliance with the Australian Embassy’s Code of Conduct, displaying personal integrity and an honest ethical approach.
•Valid driver’s licence.
